Dear Guru Bhai, Jaya Guru Dev Please find the "Guidelines for Shivir Organizers". The guidelines derived from our experience of the Maha Shiva Ratri 2001 Shivir in Kathmandu. Shivirs There are two types of Shivirs that any Sishya can inspire to organize. The one regularly organized by Guru Dham and the special one most likely falling on one of the religious festivals in the Hindu community. The shivirs can also be classified on the duration, number of days they are organized. Following chart gives glimpse of Shivirs and traditionally where they are organized. Month Shivir Location Duration/days October Dashera Delhi Dham 2 - 3 November Deepawali Jodhpur Guru Dham 3 January New Year Delhi Dham 2 February Maha Shiva Ratri 2 - 3 Mar Holi Jodhpur Guru Dham 2 April Chaitra Durga - May June July Guru Purnima - 3 August September The above table is just to give a glimpse of what normally is done and to be able to plan which shivir you would like to organize. Please do not base your planning on the information provided here. Organizers should check with Guru Dham before proceeding. Shivir Approvals Guru Dham usually approves Shivirs for the current year except in special cases. Pujya Nanda Kishore Guru Dev grants the final approval for any Shivir. Although there is no prescribed form for application, Param Pujya Guru Dev prefers to have the organizers submit application for the Shivir with all the details in writing well in advance of the time of the shivir to be organized. Shivir Components The organizers of the Shivir act as Facilitators and service providers during the shivirs. The Shivir will have Dikchyas, Parbachans, Sadhanas, a stall for Sadhana Samagri and individual audience with Pram Pujya Guru Dev for the Sishyas attending the shivir. The organizers will arrange the logistics and physical facilities of the service above. Depending on the type of Shivir and availability of time, all or either of Param Pujya Guru Trimurti may decide to grant consent to come to the shivir and in some special cases Param Bandaniya Mata may decide to grant appearance. Members of the Guru Dham to come along with the Guru Pariwar will be Adarniya Shastriji and Shriwastavji to conduct the shivir. Two staff members for the sale of Samagris and two more staff for the service. The contingent may expend from this skeletal size depending on the requirement of the Guru Dham. In addition to this, if the organizers wish to have JP Bhai to take care of Bhajans and music, he will have a contingent of 8 to 10 musicians to come along. Arrangement needs to be made separately with JP as Guru Dham leaves it to the organizers to arrange the musical part. Traditionally JP has always made a point that he supports all Shivirs with minimum charge. (In our case JP lost more than Rs. 5000 from his pocket for the mismanagement of transport on our part.) Shivir Manpower requirement Depending on the size of the number of Sishyas attending the shivir and the contingent from Guru Dham the number of required volunteers shall vary. The following is the expected number of positions to be filled. a, Shivir Main Organizer freely available unforeseen assignment 3 senior Sishyas b. Guru Dev Temporary Residence Seva 3 - 5 c. Guru Dev's attendance to manage flow of people 5 - 8 d. Guru Dev Seva - Food 3 - 5 e. Staff / Musicians Seva 2 f. Stall volunteers 4 g. Transport for above 2- 4 vehicles 4 h. Shivir Operation - 6 i. Puja Management Garland and Puja Samagri 3 j. Shivir Food 15 k. Shivir Transport assistance 3 l. Shivir Lodging Assistance 3 m. Shivir Electricity 3 n. Shivir Video Audio 7 o. Shivir Water and Toilet It is always wise to have the reserve volunteers to attend to Guru Pariwar and unforeseen events. Guru Dham desires to limit this number to minimum possible status as Pram Pujya Guru Dev wants more participants in the shivir. Shivir Travel and Transport Travel (return) needs to be arranged for the Guru Pariwar, Guru Dham Staff and Musicians by the organizers to and from the Guru Dham or their place of residence.Transport arrangement also will be required for the Samagri to be brought from Guru Dham. The whole contingent will require transport facility during the stay in the shivir. It is better to assign a separate vehicle for Guru Pariwar and Shastriji etc as the staff requires transport in different timings. Although I have experienced in some shivirs the staff and volunteers share the same vehicle as Param Pujya Guru Dev for different purpose, it certainly did not look good. The number of vehicle(s) required will depend on the size of the contingent. Separate transport arrangement needs to be made for transfer of food and volunteers working for the shivir. Stay for the Guru Pariwar and Staff Arrangement will be made at a decent hotel for the Guru Pariwar. Individual room for each member must be arranged. It is desirable to obtain a small meeting hall for the Darshan as the rooms could be crowded with sisyas seeking audience. Separate Darshan rooms could be arrange at the hotel. Since Shastriji and Shrivastavaji always make a point that they stay at a lower class hotel than Param Pujya Guru Dev, separate hotel arrangement should be mad for the two of them in a different hotel The remainder of the staff and musicians preferably can stay in the same hotel. They can share the rooms. Stay for the Participants. The organizers are responsible for identifying the location for all participants to stay in the area. Arrangement should be made with the hotels well in advance. A public building (school, campus) can also be arranged for the participants to stay. If buildings are not available, pandals should be made for the purpose in and around the Shivir sthal area. Shivir Location The hall or the temporary Tent (Pandal ) should be big enough to accommodate the Sadhaks to be able to sit comfortably on ashans and some space in front of each for placement of Puja Samagri and Guru Chitra etc. Depending on the climate, the pandal should be rain and direct sunlight proof unless it is arranged in a covered area. The seating area will of approx. 10000 sq. ft. for a normal size of participants i.e. 2000 to 3000. Approximately 300 sq. ft. area shall be allocated for the stage, which will be raised 3.5 feet above the ground. Another 1000 to 1500 sq. ft. area shall be allocated and for the Sadhaks taking Dikchya in front of the stage. This area is best demarcated with a string. Area beyond this shall be for the general participants and best have some minimum flooring done. Jute carpets should be made available for this purpose. Area behind the stage also will require tent type accommodation for the Guru Pariwar to rest in the break period. Two rooms (of approx. 150 sq. ft. area each ) should be allocated for this purpose.Shivir organizers should also have some space for sitting in between shivir sessions. Music group should be located in front of the stage on the side of the seating plan along the boundary. They require raised platform (3 ft.) of about 5 ft by 100 feet for instrument and players. Around the main entrance of the ground locating the main shivir tent a separate stall area of about 750 sq. ft. will be required for the sales counter for the Samagris and about 150 sq. ft. for the registration counter. The stalls will require a three to four tables for the display of the Samagri with table cloth, chairs etc. complete. A canteen area shall also be required to serve (sell) tea coffee snacks off the shivir tent. This can also be expanded for the purpose of Kitchen and meal serving purpose. The canteen can get quite busy with the Sadhaks frequenting the place for tea and coffee. Light and sound system Ample focus lights should be provided for the stage area and the seating area for the participants could be lighted with tubelights. Depending on the climate fans must be provided for the stage area. Minimum three microphones should be reserved for on stage in addition to the about six need for the musical group. Please contact Guru Bhai Jaya Prakash regarding the sound equipment requirement. He requires special mixing equipment and sound control system for his services. Puja and Decoration On the stage seating arrangement shall be made for Pujya Guru DEv and Guru Pariwar. The stage floor should be well covered with cloth. The sofas or seating arrangement shall be enough for all members of Guru Pariwar covered with good cloth and side pillows for arm resting two each. The seating is best locate din the center of the stage. The back of the stage is decorated with flowers and lights and the main banner of the shivir. A picture (usually brought by Guru Dham) of Param Pujya Sat Guru Dev shall be placed on the center of the screen raised by about four feet so that it is visible from all angles. On the side of the stage a puja area will be prepared for daily Guru Pujan. A Guru Chitra on a decorated table with lamp incense, stick stand and complete set of Puja Samagri. A small Ganesh bigraha is desirable for Puja placed along side or in front of the Guru Chitra. Ample flower garlands and rose petals will be require for the Shivir. Total requirement is estimated approx. one cubic meter of flowers and petals. The number of garlands to be made of the flowers shall number 30 to forty every day.
